Bookplan/Cetrea Surgical

As part of a pilot project, Odense University Hospital tried to implement the IT-systems BookPlan/Cetrea Surgical in two chosen departments with operating rooms at the hospital.

Start: fall 2013
End: 2014

The solution was a booking and coordination system for the health sector, with a central planning module and a fullscreen solution with continuously updating patient flow.

AIM

The aim was that the two IT-solutions would provide better usage of the operating rooms, including less time spent on planning, re-planning and telephone calls. An SMS-system was to decrease non-attendance from outpatient visits. Increased cooperation/coordination between the involved parties in the operations was assumed to give a better work environment for the staff. Overall, the hope was a better support system as well as long-term operational planning (BookPlan) to optimise the execution of the operational programme of the given day (Cetra Surgical).

RESULTS

Analyses of focal groups indicated that the staff was mainly positive towards BP/CS, but there had been large organisational challenges – for example, integrational challenges with the two IT-solutions, where extra educational activities had been necessary. The systems were not yet fully implemented in both departments at the end of the project, and both staff and management did not know the systems’ full potential, which complicated its optimal usage. Certain workflows – operational planning and execution, scanning of patients – had become more complicated and time-consuming than before.

ASSESSMENT

The HTA was based on a systematic literature review of the existing scientific literature about the electronic systems for operational planning and coordination, including BookPlan/Cetrea Surgical (BP/CS) and described these with a special focus on the clinical, economical and organisational HTA dimensions.
